Creating an Effective Board Meeting Agenda

The first step for a successful meeting is to create an agenda that works. However, the agenda of a board meeting does not have to be a rigid document that remains the same every time. Instead, you can use the agenda for meetings as a tool that allows you to change the way you conduct your meetings to maximize the value of your board members.

The agenda for the board meeting should clearly define the purpose of the meeting in order to avoid waste of time and ensure that all relevant issues are addressed. The agenda should also list the attendees who are required and optional in order to make arrangements accordingly. It is recommended that the agenda is distributed to board members before the date of the meeting to give them an opportunity to review the topic and prepare for the meeting.

It is essential to include a section on the agenda of the board meeting for any new business in order that board members are able to raise any concerns or issues which were not addressed at the previous meeting. Similar to the old business section permits board members to look over unresolved issues and decide what they should do with them. It is also beneficial to include a committee reports section on the board meeting agenda to allow the board to get valuable information from different committees on specific aspects of their work.

The final item of the board meeting agenda is a chance for the Board to discuss any items not on the Consent Agenda and to formally accept the meeting minutes. This will eliminate any discrepancies and maintain accountability in the minutes of meetings.
